Privacy policy (Personal information protection policy)

Pyxos-jk Co., Ltd. (hereinafter referred to as “the Company”) recognizes the importance of personal information, complies with the Act on the Protection of Personal Information (Act 57, 2003) and related guidelines, and has defined its privacy policy as listed below. In employing and maintaining this policy, the company will endeavor to handle and protect personal information appropriately.

1. Collection of personal information

The Company collects personal information using the following methods:

  • a. Information received directly from customers, business partners, applicants, employees, etc., through documentation, e-mails, online sources, orally, etc.

  • b. Information acquired when customers use the Company’s services.

  • c. Information indirectly provided by customers, business partners, business affiliates, or third parties.

  • d. Information disclosed through publications or on the internet, etc.

  • e. Information such as log information, cookie information, and other technical information collected when using the Company's services.

2. Purposes of use of personal information

The Company will use personal information only for the purposes defined below, and will not use it outside of the scope required for the achievement of these purposes.

  • a. Use of personal information for operation of Company services.

    • i. To confirm a user's identity and check for duplicate contracts when making a contract for products and services, etc.

    • ii. To provide and sell products and services.

    • iii. To conduct sales activities and provide information on products, services, and sales campaigns through mail, telephone, e-mail, social media, and other similar methods.

    • iv. To send information on seminars, trade fairs, and events.

    • v. To provide maintenance and support for products and services.

    • vi. To respond to inquiries from customers.

    • vii. To develop products, improve service quality, and construct systems.

    • viii. To conduct and analyze surveys for improving service quality.

    • ix. To execute entrusted tasks and fulfill contracts for entrusted processing, etc.

    • x. To conduct business negotiations, purchase goods, hold meetings, maintain contact, etc.

  • b. Use of personal information belonging to individuals seeking employment.

    • i. To evaluate and determine whether to accept or reject applicants seeking employment, and the terms and conditions of employment.

    • ii. To manage tasks relating to recruitment such as administrative communications and responses to inquiries.

    • iii. To contact Hello Work (the Public Employment Office) or employment agencies regarding the employment status of an applicant.

  • c. Use of personal information belonging to employees.

    • i. To perform tasks related to management of human resources such as personnel evaluations, calculation of wages, social insurance administration, and provision of benefits, as well as training and education of personnel for business operations.

    • ii. To ensure healthy business practices and proper management of health.

    • iii. To complete procedures at Hello Work (the Public Employment Office) related to employment insurance.

  • d. Use of personal information belonging to retired employees.

    • i. To conduct human resources management of retired employees, as required by law.

    • ii. To contact retired employees or provide them information.

  • e. Use of personal information acquired from publicly available information.

    • i. To conduct sales activities and provide information on products, services, and sales campaigns through mail, telephone, e-mail, social media, and other similar methods.

    • ii. To develop products, improve service quality, and construct systems.

3. Changes to purposes of use

The Company will change the purposes of use of personnel information only when the purposes of use can be reasonably deemed to be related to the purposes of use prior to the change. When the purposes of use are changed, the purposes of use after the change will be publicized on this website.

4. Provision of personal information to third parties

Except in the cases defined below, the Company will not provide personal information to third parties without obtaining prior consent from the person concerned.

  • a. When required by law.

  • b. When said information is necessary for the protection of the life, body, or property of an individual and it is difficult to obtain consent from the person to whom the information belongs.

  • c. When said information is particularly necessary for improving public health or promoting the healthy development of children, and it is difficult to obtain consent from the person to whom the information belongs.

  • d. When it is necessary to cooperate with national agencies, local government organizations, or individuals entrusted by these organizations to execute duties stipulated by law, but obtaining the individual's consent may potentially hinder the execution of said duties.

*Under the Act on the Protection of Personal Information, provision of personal information to subcontractors, business successors, or joint users within the scope of the purposes of use does not constitute provision of personal information to a third party.

5. Subcontracting of tasks

In some cases, the Company may entrust the handing of personal information, in part or in whole, to an external business (hereinafter referred to as “Subcontracting Vendor”). When providing personal information to Subcontracting Vendors, the Company will carefully select only those vendors who have management systems in place to manage personal information in an appropriate manner, and will conclude contracts with Subcontracting Vendors that include clauses on confidentiality and the supervision and management of personal information. Additionally, after conclusion of said contracts, the Company will require Subcontracting Vendors to protect personal information, and will supervise Subcontracting Vendors as necessary and appropriate to ensure appropriate handling of personal information.

6. Provision to third parties in other countries

The Company sometimes provides personal information to third parties in other countries. Except where permitted by law, the Company will only provide personal information to parties who have systems in place that comply with the standards required by Japan’s Act on the Protection of Personal Information, and will take measures as required to ensure that such compliance is maintained on an ongoing basis.

7. Use of cookies, etc.

The Company collects statistical site usage information such as cookies for the purposes of measuring advertising effectiveness, for statistical data analysis, and for improving the services offered by the Company.

Cookies are blocks of information sent to customers’ browsers by a web server to allow the customer to use websites with ease. Note that although you can change your browser settings to deactivate cookies, doing so may result in you being unable to use all or part of the services offered by the Company.

  • a. Distribution of advertisements for Company services by third-party distribution vendors

    Advertisements for the Company's services are displayed on websites by third-party distribution vendors. These third-party distribution vendors use identifiable information such as cookies to deliver advertisements based on information about your past access to the Company website. Additionally, the Company may encrypt personal information in its possession and deliver advertisements based on the results of matching the data with information possessed by said third-party distribution vendors. These third-party distribution vendors do not use said encrypted information for any purpose other than the delivery of advertising.   • b. Use of Google Analytics

    The Company uses Google Analytics to investigate and analyze the status and conditions of customer use of Company services. Customer information that has been collected, recorded, and analyzed using Google Analytics does not include any information that can be used to identify particular individuals. Moreover, this information is managed based on the Google LLC Privacy Policy.

  • c. Use of marketing automation tools (BowNow)

    The Company uses BowNow to investigate and analyze the status and conditions of customer use of Company services. Customer information that has been collected, recorded, and analyzed using BowNow does not include any information that can be used to identify particular individuals. Moreover, this information is managed based on the Cloud Circus Inc. Privacy Policy.

  • d. Advertising measurement using customer data

    The Company’s services utilize functions provided by third-party distribution vendors to measure advertising using information obtained by comparing encrypted customer data received from customers (e-mail addresses, telephone numbers, etc.) and matching it with users from third-party businesses. The customer data used for matching is encrypted, and is thus not provided to third-party vendors. Please see below for information on opt-out methods.

8. Anonymized information

The Company handles anonymized information (personal information that has been processed using measures defined by relevant laws so that it cannot be used to identify specific individuals and which cannot be restored to personal information) in the following manner.

  • a. Creation of anonymized information

    • i. Processing information appropriately in accordance with standards established by law.

    • ii. Implementing security management measures in accordance with standards established by law to prevent leaking of information related to processing methods or deleted information.

    • iii. Disclosing items of information contained in the anonymized information that was created.

    • iv. Refraining from actions that identify individuals whose personal information served as the basis of the anonymized information that was created.

  • b. Provision of anonymized information

    • i. When providing anonymized information to third parties, the items of information included in said anonymized information and the methods of provision are disclosed.

    • ii. The third party to whom the anonymized information is provided must be clearly informed that the information is anonymized.

9. Security management measures

The Company ensures that personal information is kept as accurate and up-to-date as possible within the scope necessary for achieving the purpose of use, and puts in place organizational and individual security measures, as well as physical and technological security measures, to prevent unauthorized access, loss, destruction, alteration, and/or leakage of personal information. Additionally, the Company will appoint personnel responsible for the protection and management of personal information and the continuous establishment, implementation, and maintenance of systems to manage and protect personal information in light of changes in society and the environment.

10. Changes to the privacy policy

The Company reviews the management of handling of personal information as appropriate, endeavors to make ongoing improvements, and amends the privacy policy as necessary. When the privacy policy is changed, it is listed on the Company website.

11. Procedures for disclosure, amendment, and cessation of use of personal information

An individual or their representative may, in accordance with the procedures defined by the Company, request the disclosure; correction, addition, or removal of content; cessation of use or deletion; or cessation of provision of personal information that can identify said individual. For specific information on how to make such requests, contact the “Personal Information Consultation Desk.”To prevent unauthorized requests through impersonation, etc., the Company requests that documentation be provided to verify identity when making such requests.

Additionally, an administrative fee of 1,000 yen (consumption tax included) will be incurred per request. Fees should be paid using a fixed amount postal money order (teigaku kogawaseshousho) issued at a Japan Post Bank or post office savings counter.
